Consider that you wish to populate workflow "New SKU Introduction" for an "SKU" entity with two activities "SKU Submission" and "Review". Populate the Workflow App Model sheets as follows:
Prerequisite
You must set up the workflow "New SKU Introduction" in your workflow instance with the steps as required.
Populate Workflows
Specify the details of "New SKU Introduction" workflow in the Workflows sheet:
- Open Workflow App Model spreadsheet and select Workflows sheet.
- Enter the Name, Version, Status, and Display Name for "New SKU Introduction" workflow in the respective columns.

- Save the spreadsheet.
Populate Workflow Activity Definition
Specify activities for the "New SKU Introduction" workflow in the Workflow Activity Definition sheet:
- Open Workflow App Model spreadsheet and select Workflow Activity Definition sheet.
- Enter the required activities with the Roles, Activity Name, and Display Name for the "New SKU Introduction" workflow in the respective columns.

- Save the spreadsheet.
- Note that, the workflow activity columns such as Activity Type, Next Activity Names, Default Action, and Export Profile(s) are not applicable for the legacy workflow.
Scenario
For a workflow with parallel steps, it is important to specify the Split and Merge activities and enter the split group IDs in the respective column. For more information see, Populate Workflow Activity Definition, Parallel Workflow Steps.

Populate Activity Actions
Specify actions for the activity in the Activity Actions sheet:
- Open Workflow App Model spreadsheet and select Activity Actions sheet.
- Specify the "Action Name" and the "Display Name" as required for the "New SKU Introduction" workflow.

- Save the spreadsheet.
Populate Workflow Mapping
Specify the mapping between the workflow and the entity Workflow Mapping sheet:
- Open Workflow App Model spreadsheet and select Workflow Mapping sheet.
- Enter the mapping between the workflow and the entity in the respective columns.

- Save the spreadsheet.
Populate Workflow Activity Rules
Specify and manage the assignment rules set for workflows in the Populate Workflow Activity Rules sheet:

Open Workflow App Model spreadsheet and select Populate Workflow Activity Rules sheet.

Enter the actions with values as required in the respective columns.

- Save the spreadsheet.
On loading this data model and ensuring that all the required UI configurations are loaded, you can view the workflow with its activities in the Home App.

- You can associate business rules or business conditions to a workflow activity using the Governance Context sheet. For more information, see Populate Context and Associate Business Condition and Content Generation Rule.
- Whenever a Workflow (Definition Model) is deleted, it is important to ensure that all the associated workflow mappings, including those linked to any entity types related to that workflow, are also removed. This helps prevent any potential errors due to incomplete data structures. Additionally, all records and data entries directly associated with the workflow must be thoroughly deleted from the model.
